A Checklist for Moving Community Dues to a Digital App

Moving to a digital dues app does not require entering every historical notebook at once. The first goal is to organize the next billing period while preserving a clear trail for balances and outstanding bills.

1. Choose a starting date and responsible people

Use the beginning of a month or billing cycle so results are easy to compare. Identify who prepares data, who checks it, and who answers residents’ questions. Retain older records and state the date through which they remain the reference.

2. Clean up household and member records

Check unit identifiers, necessary contact details, and membership status. Resolve duplicates only after confirming who they belong to. Collect what operations require and restrict access to the appropriate administrators.

3. Agree on opening balances and outstanding items

Count cash and reconcile the community bank account at the same date. List unpaid bills, payments awaiting verification, and unresolved expenses separately. The cash balance is not the total value of bills issued.

Ask another administrator to review the result according to the community’s process. Record the review date and explain discrepancies before starting the new period.

4. Define billing rules and access

Prepare dues names, amounts, periods, and due dates. Where possible, separate billing and review responsibilities. Use individual accounts rather than sharing a single password across the committee.

5. Test one billing cycle

Start with one dues type or an agreed pilot group. Check bill creation, payment, evidence upload, administrator confirmation, and reporting. For transfer and cash payments, make sure collectors know when a payment can be marked as confirmed.

6. Explain the process to residents

Provide a short guide to accessing the app, finding bills, paying, and contacting administrators. Help residents who are less comfortable with digital tools. Reconcile the pilot’s closing balance and collect feedback before expanding use.

Dico Society supports dues management for neighborhoods and communities. Review the app features and free access and cost FAQ. Use the monthly cash report example for the first closing cycle.

Frequently asked questions

Must every historical notebook be imported at once?

Not necessarily. Agree on a starting date, archive older records, and enter the opening balance and outstanding bills for the new period.

How should a digital migration be tested?

Test one dues type or small group through a full billing cycle, from bill creation to payment confirmation and report reconciliation.
